The Best Way to Manage Your Wedding Guest List Online

The best way to manage a wedding guest list online is to gather every name in one list instead of scattered notebooks and WhatsApp groups: you import names from your contacts or an Excel file, sort them into groups, set the number of seats per guest, then send each one their link and follow the replies in one place, and at the end you download the final list and hand it to the venue.

This article is about managing the list once you have decided who to invite. The question "who do I invite, and how many?" is answered in how to build your wedding guest list.

Why aren't notebooks and WhatsApp groups enough? #

At most weddings the list starts out scattered: a sheet of paper with the mother, voice notes from the aunts, a WhatsApp group where everyone adds names their own way, and notes on the groom's phone. The problem isn't the number of names. It is that they are spread around:

  • The same name is written twice in two different forms, so the guest is invited twice or not at all.
  • Nobody knows who has actually received the invitation and who is still waiting.
  • Replies come by phone and by message and get lost between chats.
  • A few days before the wedding, "how many are we?" has no accurate answer.

How do you gather all your guests in one list? #

Start by moving the names from everywhere into one list. Koroty has four ways to add guests, so use whichever suits where the names are:

  1. One by one: good for a few names, or ones you remember later.
  2. Pasting a list of names: if the names are in a note or a message, copy and paste them in one go, and you can write the mobile number after a comma next to each name.
  3. From your phone contacts: on Android devices, you pick the names straight from your contacts.
  4. From an Excel or CSV file: if the family has already prepared a spreadsheet, upload it as it is instead of retyping it.

A tip: write the name as you would like the guest to see it, such as "Umm Khaled", "The Hassan family" or "Mr Sami". The name in the list is the name the guest will see on the envelope of their invitation.

How do you sort guests into groups? #

Groups make a long list readable. The simplest split is bride's family and groom's family, then you add what you need: friends, work colleagues, neighbours, relatives abroad.

With groups, a long list becomes orderly: you know which side each guest belongs to, you can review each side's names with that family, and you easily spot anyone who was left out by mistake. When the time comes to plan the tables, the split is ready in front of you.

How many seats do you give each guest? #

Not every name in the list is one person. "The Hassan family" may be five people, and "Abu Khaled" may come with his wife only. So on Koroty you can set the number of seats per guest.

When they RSVP, the guest chooses the number of people within a limit you set, either one limit for the whole invitation or a specific limit per guest. That protects you from surprises: nobody can confirm ten people when you gave them two seats. For how to work out the final number, read wedding RSVP: how to know your guest count.

How do family members add their own guests? #

The hardest part of the list is usually the parents' guests: the mother knows her friends, the father knows his colleagues, and the couple don't know all the names. Instead of someone dictating them to you over a long call, send them the family link.

The couple send this link to their parents, who add their own guests to the same list. The result is one complete list, with names written by the people who know them.

How do you know who received the invitation and who replied? #

Once the list is complete, sending begins. On Koroty each guest has a personal link in their name, and from the guest list you press "Send" next to their name and WhatsApp opens with the message ready with their name and link. "Send to next" takes you to the first guest who hasn't received the invitation, so you don't forget anyone and don't send to anyone twice.

Then you follow the status from the numbers in your dashboard:

  • How many received the invitation: so you know how many are left.
  • Attending: those who tapped "I'll attend", with the number of people.
  • Declined: those who tapped "I can't make it".
  • No reply: those who received the invitation and haven't decided.

Every reply appears straight away, without a single phone call. If you want to understand RSVP from the ground up, here is what RSVP means on a wedding invitation.

How do you remind those who haven't replied without awkwardness? #

There will always be some guests who opened the invitation and didn't reply, usually from forgetfulness and not from neglect. Koroty has a "Remind" button that sends a reminder to those who opened the invitation but didn't reply. Send it enough days ahead, in kind words that carry no reproach.

Elders may prefer a short phone call alongside the message, out of respect.

How do you hand the final list to the venue? #

As the wedding approaches, the venue or the organiser needs a final number and a clear list. Instead of writing it out again, download the guest list and replies as an Excel or CSV file, with the guests and their answers.

From that file you can plan the tables, prepare a list for the reception team at the door, and check any name with the family before the big day.

What are the common mistakes in managing a guest list? #

  1. Starting to send before the list is complete, so you lose track of who has and hasn't received the invitation.
  2. Leaving names without groups, which makes it hard to review with each side of the family.
  3. Not setting seats, so some guests confirm more people than you counted on.
  4. Relying on memory for replies: every reply should be in the list itself, not in a side conversation.
  5. Leaving the handover to the venue too late: download the list early enough to plan the tables calmly.

Frequently asked questions #

Does a guest need an app or an account to reply? #

No. The invitation is a link that opens in any browser on a phone or computer, and the guest taps "I'll attend" or "I can't make it" directly, with no app and no account.

Can I add guests after the invitations have gone out? #

Yes, the list stays open for additions at any time. You add the name, then send them their link as you did with the others.

Is there a limit on the number of guests in the list? #

On the preview link you can try everything for 48 hours, including adding guests and receiving replies. Once you activate the invitation with one payment, guests and replies are unlimited on the same link. The price for your country is on the pricing page.

Review the list after the family have added their names, especially within each group. One review before sending is far easier than finding a duplicate after the invitation has arrived.

From guest list to RSVPs #

Once the list is ready, a digital wedding invitation with RSVP and guest tracking walks through seat limits, custom questions, reminders and the reply dashboard.

The bottom line #

Managing a wedding guest list gets far easier when it lives in one place: names imported instead of retyped, clear groups and seats, family adding their own guests, and replies appearing straight away until you download the final list for the venue. Start by designing your invitation, then move your list into it. You can try it for free on Koroty.
